Understanding the Tenant Profile in the 6Storage Admin Portal
Access and manage individual tenant details, including contact info, lease history, invoices, and more.
The Tenant Profile provides a centralized view of all details, activities, and actions related to an individual tenant. From basic contact info to billing, communication, documents, and more—this is where you can manage everything related to a tenant’s rental experience.
Accessing a Tenant Profile
You can access a tenant’s profile by:
- Using the search bar at the top of the screen
- Clicking on the Tenants tab and selecting a tenant from the list

- After entering one tenant profile using the arrow icon in the top left corner of the screen will provide you a list to quickly toggle between tenants

Left Side: Tenant Information
This section contains general information about the tenant:
- Tenant Details (top-left): Name, contact info, and address
- Active Rentals: Shows if the tenant is in good standing, gate codes, balance, and paid-through date for all of their units
- Additional Tenant Info:
- Notes
- SMS and email communication history
- Move-in details and custom fields
- Alternate contact information
- Preferred payment methods

Right Side: Rental and Financial Overview
This side of the profile focuses on unit and billing information:
- Balance Overview: Displays current rent, outstanding charges, and total balance
- Primary Note: A pinned note for quick reminders or important messages
- Rental Details Section:
- Rent amount and billing cycle
- Paid-through date and invoice period
- Gate code, access hours, and access status

Ledger
- Located at the bottom of the tenant profile
- Displays all transactions, invoices, and payments
- Blue invoice numbers and receipt numbers will allow you to view their documents

Tabs Within the Tenant Profile

Documents
- View signed lease agreements and uploaded addendums
Addons
- Manage content coverage, fees/services, merchandise, and discount plans
Lease Preferences
- Configure tenant-specific communication and automation settings
Other
- View vehicle details
- Upload and view additional documents related to the tenant
Taking a Payment
- Payments can be made directly from the tenant profile

Rental Details Menu Options
The menu button in the top-right of the Rental Details section gives access to key tenant actions:

Create Invoice
- Next Invoice – Generate the next billing cycle’s rent invoice
- Custom Invoice – Used for non-recurring charges (e.g., merchandise, one-time fees)
Apply Discount
- Apply a one-time discount specific to this tenant

Delete Lease
- Permanently deletes the tenant and their rental record
- Normally used only for test data or move-in mistakes—prefer "Move Out" in most cases
Access Denied
- Disables tenant gate access (for delinquent accounts or restricted access)
- Works only if your facility uses an integrated gate system
Move Out
- Starts the tenant’s move-out process

Transfer Unit
- Moves a tenant from one unit to another

Late-Lien Fees
- Assign a late fee to an unpaid invoice
- Waive a fee if needed

Schedule Move-Out
- Set a planned move-out date
- Helpful for managing future vacancies and coordinating with the Leads List
Overlock
- Use when a physical overlock has been placed on the tenant’s unit
- This is a manual tracking tool to note physical lockouts
